Frequently Asked Questions
All about hosting your group dining or private event at Winnie & Ethel’s
General Event Questions
What types of events can Winnie & Ethel’s host?
Winnie & Ethel’s Downtown Diner welcomes a variety of gatherings, including private events, group dining, networking dinners, corporate gatherings, campaign fundraisers and receptions, wedding-related celebrations, catering events, and media or filming space rentals.
Depending on your needs, we can accommodate full or partial restaurant buyouts, dedicated group dining areas, and other customized event experiences. Our team will work with you to determine the best option for your event.
How do I inquire about hosting an event?
Visit our Group & Private Events page and select the option that best fits your event, whether you’re interested in Group Dining, a Private Event, Catering, a Campaign Fundraiser, or Media & Filming Space Rental.
Complete the inquiry form with your event details, and our team will follow up to discuss your needs, availability, and the best options for your gathering.
How far in advance should I book my event?
We recommend submitting your inquiry as early as possible, particularly for weekends, holidays, weddings, large private events, and full restaurant buyouts.
Availability depends on the date, time, guest count, and type of event requested.
What happens after I submit an inquiry?
Our team will review your request and follow up regarding availability, guest count, event type, menu options, timing, and pricing.
Once the event details are finalized, we will prepare a proposal for your review and signature. Your event is confirmed once the required agreement and deposit have been received.
What if I don’t know which event option is right for me?
That’s completely fine. Tell us about your event, and our team can help determine whether Group Dining, a Private Event, Catering, a partial or full buyout, or another option is the best fit.
GROUP DINING & PRIVATE EVENTS
Can I reserve the entire restaurant?
Yes. Depending on the date, time, guest count, and event requirements, we may be able to accommodate a full restaurant buyout.
Can I reserve only part of the restaurant?
Yes. For certain group sizes and event types, we may be able to reserve a dedicated section of the restaurant while the restaurant remains open to other guests.
What is the difference between Group Dining and a Private Event?
Group Dining is generally designed for groups who want to dine together within the restaurant, often with a dedicated area and a pre-selected group menu.
A Private Event provides a more exclusive experience and may include a partial or full restaurant buyout, depending on the event.
Our team can help determine which option makes the most sense based on your guest count, budget, date, and event goals.
Can we customize our event menu?
We offer curated group dining and event menus designed specifically for larger gatherings.
If you’re looking for something more customized, let us know what you have in mind. Depending on the event, we may be able to accommodate a predetermined selection of menu items.
For larger groups, we generally cannot accommodate individual guests ordering freely from the regular menu at the same time, as this can significantly impact service timing.
Do you offer beverage packages?
Yes. Depending on the event and selected package, beverage options may include non-alcoholic beverages, standard bar packages, premium bar packages, and other beverage enhancements.
Beverage options and pricing vary by event and will be included in your event proposal.
Can guests purchase alcohol individually?
Alcohol arrangements depend on the event and selected beverage service. If you’re interested in à la carte or cash-bar service, please mention this when submitting your inquiry so our team can determine what options are available.
EVENT PLANNING
Can you accommodate dietary restrictions and food allergies?
Yes. Please let our team know about any dietary restrictions or food allergies as early as possible during the planning process.
We will review requested accommodations with our culinary and operations teams and let you know what options are available.
Can we request a specific event schedule?
Yes. Include your desired guest arrival time, meal/service time, presentation or program timing, setup requirements, and departure time in your inquiry.
Our team will review the requested timeline and confirm what can be accommodated.
Can I bring decorations?
Yes, decorations may be permitted with advance approval.
Because installation, placement, and removal requirements can vary, please discuss your décor plans with our team before your event. Certain setup requirements may result in additional charges.
Can we bring outside vendors?
Outside vendors may be permitted depending on the type of service and event.
Any outside vendor should be discussed and approved in advance. Outside vendors may not provide food or beverage preparation or service unless specifically approved by W&E.
Can we bring outside food or beverages?
Outside alcoholic beverages are not permitted.
Outside food or non-alcoholic beverages may require advance approval. Please discuss any outside food or beverage requests with our team during the planning process.
Can we request AV or presentation equipment?
AV and presentation needs can be discussed during the planning process. Please let us know about any microphones, speakers, screens, presentations, entertainment, or other technical requirements as early as possible.
GUEST COUNT & EVENT DETAILS
When do I need to provide my final guest count?
Your final guaranteed guest count is required five days before the event by 2 PM local time.
This allows our culinary and service teams to properly prepare staffing, food, seating, and other event details.
Can I change my guest count after submitting my inquiry?
Guest counts can generally be adjusted during the planning process.
Your expected guest count may increase or decrease by up to 10% when your final guest count is submitted without an additional surcharge. Changes beyond that threshold may result in additional charges.
If a final guest count is not received by the deadline, the original expected guest count will become the guaranteed count.
How is my final event charge calculated?
Your event is generally billed based on the guaranteed guest count or the number of guests served, whichever is greater.
W&E prepares food based on the guaranteed guest count.
DEPOSITS & PAYMENTS
Do you require a deposit to reserve an event?
Yes. A deposit is required to secure an event. The amount depends on how far in advance your event is booked.
Your event proposal will identify the specific deposit amount and payment schedule applicable to your event.
What is the payment schedule for private events?
Unless a different payment schedule is specified in your event proposal, our standard schedule is:
| When Your Event Is Booked | Initial Payment | Remaining Balance |
|---|---|---|
| More than 180 days in advance | 25% deposit due within 10 days of signing | Additional 25% due 90 days before the event; remaining balance due 14 days before the event |
| 90–180 days in advance | 50% deposit due within 10 days of signing | Remaining balance due 14 days before the event |
| 31–90 days in advance | 75% deposit due within 10 days of signing | Remaining balance due 14 days before the event |
| 30 days or less in advance | Full estimated balance due within 10 days of signing | Any remaining balance based on the final guaranteed guest count is due 14 days before the event |
When is the final payment due?
The remaining event balance is generally due 14 days before the event date and is based on the applicable guaranteed guest count.
How are event payments processed?
A valid credit card is required at the time of contracting unless approved credit arrangements have been established with Winnie & Ethel’s.
Unless another payment arrangement has been approved in advance, the card provided will be used for applicable event charges.
Are deposits and final payments refundable?
Refundability depends on when the event is canceled relative to the event date.
Your event proposal will outline the specific deposit and cancellation terms applicable to your booking.
What happens if I need to cancel my event?
Cancellations must be submitted in writing.
Cancellation fees and deposit refundability depend on how far in advance the cancellation is received. For cancellations made 13 days or fewer before the event, the standard event terms provide for a cancellation charge equal to 100% of applicable event charges, based on the higher of the expected or guaranteed guest count.
Can there be additional charges after my final payment?
Yes. Additional food, beverages, services, equipment, or other event-related charges requested or incurred during the event may be billed separately.
Additional charges incurred during the event are due before the conclusion of the event and are subject to a 22.5% service charge under the standard event terms.
What happens if my event runs longer than scheduled?
Events are expected to begin and end according to the contracted schedule.
Additional overtime costs may apply if guests, vendors, or event personnel arrive before the scheduled setup time or remain after the scheduled teardown time. The standard event terms provide for a $1,000-per-hour surcharge, billed in 15-minute increments, in these circumstances.
